Cover Letters: Step by Step Guide, Tips, and Examples
Steps to Writing a Strong Cover Letter
Resumes should be tailored to the intended audience, but cover letters are where applicants can explicitly connect the dots between their experiences and the opportunity they are pursuing. A strong cover letter generates interest in you as a candidate, clearly demonstrates how your skills and experiences align with the position, and motivates the reader to review your resume and invite you for an interview. When given the opportunity to submit a cover letter, even if it is optional, it is in your best interest to take advantage of it and write a unique letter that highlights your skills and demonstrates your interest in the position.
Steps To Writing A Strong Cover Letter
Step 1:
Learn more about the organization.
What is the mission and goals? What are you interested in working for them specifically?
Step 2:
Review the position description carefully.
Highlight keywords and required skills.
Step 3:
Write down examples from your own experience that showcase the skills and keywords identified in the position description.
Consider work experience, academics, extracurriculars, and more!
Step 4:
Select 2-3 concrete examples to write about that demonstrate your qualifications.
Be specific about how they connect to the position you are applying for.

Cover Letter Best Practices
Avoid Saying a Little About a Lot
Instead of using the cover letter as a space to cover all of your experience and skills, focus on 2–3 of your most relevant experiences. This allows you to provide specific examples of your skills in action, rather than simply stating that you developed them.
Focus on Skill Alignment, Not Gaps
Unless an application specifically asks you to address areas of concern or skills you may be lacking, focus on the strengths and qualifications you would bring to the role. Avoid statements such as “although I don’t have…” and instead use the cover letter to clearly articulate how your skills, experiences, and accomplishments align with what the employer is seeking.
Prioritize your Audience
Cover letters should be personal. Beyond making sure they are addressed to the correct employer or organization, ensure the examples you share and the interest you express are tailored to your audience. Remember, mass-produced cover letters are easy to spot, and employers are hiring for a specific position. Your cover letter should clearly reflect why you are interested in that role and how your experiences align with their needs.

Sample Cover Letter
Dear Hiring Manager,
I am writing to express my interest in the Environmental Compliance Specialist position with Baxter Environmental, which I discovered through hireBING. As a recent Chemistry graduate with hands-on experience monitoring water quality at a county water treatment facility, I am excited about the opportunity to apply both my scientific knowledge and interpersonal skills to help organizations meet environmental regulations and promote sustainable practices.
During a summer position with the County Water Treatment Facility, I assisted with monitoring water quality and recording operational data to help ensure compliance with state and federal standards. One responsibility involved checking chemical and treatment levels throughout the day and documenting the results in facility report logs. Because even a small discrepancy could affect water quality or regulatory reporting, accuracy and attention to detail were critical. I learned to carefully review data, identify unusual readings, and communicate observations to supervisors so that potential issues could be addressed quickly. This experience strengthened my ability to work with technical information, maintain accurate records, and recognize the importance of thorough documentation in a regulated environment.
As a chemistry tutor, I worked one-on-one with students from a variety of backgrounds to reinforce course concepts and develop the necessary skills to learn independently. One student in particular struggled with chemical mathematics and relied on me to walk through each equation step by step. Instead of just providing answers, I started using analogies related to cooking measurements and asking guiding questions that helped them recognize patterns and problem-solve on their own. Over time, they became more confident in approaching problems independently, needing less direct guidance from me during our sessions. This experience strengthened my ability to break down complex, technical information in a way that is easier to understand and act upon. I look forward to carrying this skill into my role as an Environmental Compliance Specialist and helping sites not only correct violations, but also understand the regulations well enough to prevent future issues.
Thank you for considering my application for the Environmental Compliance Specialist position. I am excited about the opportunity to contribute to Baxter Environmental’s commitment to environmental stewardship and regulatory compliance. I’d welcome the opportunity to discuss my qualifications further and can be reached at (555) 555-5555 or email@email.com. I look forward to hearing from you.
Sinceraly,
